‍ ‍•       Information you share in your intake form prior to sessions

‍ •       Brief session notes made after each coaching session

‍ •       Booking and payment records via Squarespace Scheduling (Acuity)

‍ •       Any information you share during coaching sessions that is relevant to our work together

3. Why We Collect Your Data

Your data is collected and used solely for the purpose of providing coaching services to you. Specifically:

‍ •       To prepare for and deliver coaching sessions effectively

‍ •       To maintain a record of our work together so sessions can build meaningfully over time

‍ •       To manage bookings and communicate with you about appointments

‍ •       To fulfil our legal and professional obligations

The lawful basis for processing your data is the performance of a contract (our coaching agreement with you) and, where relevant, our legitimate interests in maintaining appropriate professional records.

4. How We Store Your Data

‍Your data is stored securely using password-protected systems. Session notes are held in a secure, access-controlled document system. Booking and payment information is handled by Squarespace Scheduling (Acuity), which maintains its own data security standards.

‍We do not store your data on personal devices without appropriate security measures, and we do not use unencrypted or unsecured platforms to hold client information.

5. How Long We Keep Your Data

‍We retain your personal data and session notes for 3 years from the end of our coaching relationship. After this period, your records will be securely deleted.

‍Booking and payment records may be retained for up to 6 years in line with HMRC requirements for financial records.

6. Who We Share Your Data With

‍We do not sell, rent, or share your personal data with third parties for marketing purposes.

Your data may be shared only in the following limited circumstances:

•       With third-party service providers necessary to run the practice (e.g. Squarespace/Acuity for bookings), who are bound by their own data protection obligations

‍•       Where we are legally required to do so (e.g. by a court order)

‍•       Where there is a serious and immediate risk of harm to you or someone else — in which case we may contact appropriate services without your consent

‍The last point reflects our duty of care as a coaching practice working with people who may be in emotional distress. This would only be used in exceptional circumstances.

7. Confidentiality

‍Everything discussed in coaching sessions is confidential. We will not discuss the content of your sessions with anyone else except in the limited circumstances described in Section 6 above.

‍Please note that Calm Bridge Coaching is a coaching service, not a clinical or therapeutic service. If you are in crisis or require urgent mental health support, please contact your GP, call 116 123 (Samaritans), or text SHOUT to 85258.

8. Your Rights

‍Under UK GDPR, you have the following rights regarding your personal data:
